What are the recommended permissions for different roles?

  • Executives will likely have their own Personal Workspace folders where they’re given folder owner access. Presentations can be created by other departments and grant Executives Viewer Access.
  • Content Creators and Retail Staff (Marketing or Product teams depending on your structure) should be the folder owner or editors.  Retail staff will then be given viewer uploader access to consume retail front collateral and upload store financials back to the Corporate office.
  • Product Managers will be Folder Owners for respective projects. Team members will be invited in with varying level of access depending on their level of contribution and involvement with the project.

How do I track versions of files?

 

You can track the versions of documents in Box natively, so there is no need to ‘save as’ and create dozens of different versions of the same file. As you create new versions, Box will append a version number to the file. You can roll back to a previous version if you make any mistakes. Using Box, you can be sure you are always working on the latest version of a file.

What happens when a project is complete?

 

Once a project is completed, move it to your archive folder. Keep the data as long as your records management polices require.
