Earlier this year, Automatic Email of User Communication improved the functionality that was previously known as compliance email archive. To meet compliance requirements, Box admins need to be able to monitor all communications occurring in Box. Enabling this feature captures textual input into Box, including comments, tasks, collaboration invitations, and emails to collaborators and automatically sends a blind carbon copy (BCC) of selected communications to a specified email address.
Box Governance has added Automatic Email of User Communications events in the user activity report, allowing for easy consumption and reporting of compliance events, including comments, invitations, and emails to collaborators. Admins can schedule the user activity report to run and have the results sent to any user of their choosing for auditing requirements.

Last year, we released modifiable retention policies to provide flexibility as external regulatory environments or internal governance policies change, allowing customers to implement retention policies with the ability to modify them later.
We are continuing to expand our retention capabilities and now give admins the ability to create retention polices targeting Box Shield classifications. This feature allows Box Admins to properly retain and dispose of content based on Shield classification labels applied to that content for both modifiable and non-modifiable retention policies.

Box Governance allows organizations to manage their content’s lifecycle by powering business processes with flexible retention schedules, preserving content for defensible discovery, and managing the disposition of content. We are excited to share the following enhancements to our Box Governance reports:
New Disposition Report. This new report allows Box Admins to easily see what content is going to be disposed of within a specific timeframe of their interest (eg. content that will be disposed of in the next 30 days, 3 months, or a custom data range). This enhancement gives admins more visibility into content nearing expiration and the snapshot of upcoming dispositions will help prevent the loss of valuable content.
Enhancements to the Files and Folders Report. We have added 3 new columns to the Files and Folders report: retention start date, disposition date, and disposition action. This enhancement provides admins greater visibility into what content is retained, when content will be disposed, and what action will be executed at the end of retention period.
Box has also made additional disposition enhancements, including updates to disposition notifications to create a better user experience and scalability enhancements around disposition actions.

From trademark issues to patent infringement, legal risk is a serious concern for every company. Legal Holds may be issued as a result of current or anticipated litigation, audit, or government investigation. Box Governance’s Legal Hold feature gives Admins the ability to identify, preserve, and collect content that is stored in Box and ensures that content relevant to litigation can be found based on a user and held indefinitely in Box.
We have enhanced our legal holds capabilities to streamline and simplify eDiscovery processes and released Legal hold export, allowing admins to export documents on legal hold for legal review. Legal hold export provides the ability select customer filters to narrow scope and improve relevancy of exported content. Content can be filtered by date, user, and file type, and the export automatically batches and monitors large exports for more reliable downloads. Legal hold export extends Box’s eDiscovery capabilities by allowing the identification and preservation of content subject to litigation, as well as the collection of that content.

From the start we built Box Governance for highly regulated industries and our existing retention policy type was intentionally designed to be non-modifiable. As Box has grown, we saw the need to expand our retention policies and released modifiable retention policies this summer.
We expanded the capabilities of modifiable retention policies and now give customers the ability to delete an entire policy, providing flexibility as external regulatory environments or internal governance policies change.

From the start we built Box Governance for highly regulated industries and our existing retention policy type was intentionally designed to be non-modifiable. As Box has grown, we have seen the need to expand our retention policies and are excited to announce Box Governance has two types of retention policies - modifiable and non-modifiable.
Modifiable retention policies provides flexibility as external regulatory environments or internal governance policies change. Modifiable retention policies allow customers to implement retention policies with the ability to modify them later. This allows for both the creation and modification of policies, including shortening of retention policies, as well as making policy changes retroactively to content already under retention. For our customers who need to comply with SEC/FINRA Rule 17a-4, there’s no need to worry. Going forward, when a policy is created your Box Admin can specify if it is modifiable or non-modifiable. Non-modifiable policies can continue to be used to help you meet SEC/FINRA retention requirements.
We also added the ability to expand non-modifiable retention policies without being modified. Box Admins have the option to extend the retention time period duration to meet regulatory or internal compliance needs, while still remaining SEC/FINRA compliant.

Box Governance allows organizations to manage their content lifecycle by powering business processes with flexible retention schedules, preserving content for defensible discovery, and managing the disposition of content.
We released a new feature allowing users to view and extend the retention policy expiration date for a given file via the API. Files under retention can have their retention date extended by updating the disposition_at field value with a future date. Once the date has been extended, it cannot be reverted or changed to be prior to the new date.
