Using InCopy and InDesign with Box Drive
Our team is trying to migrate to a Box Drive workflow to replace our office file server. So far, it's been smooth-ish for our Mac InDesign users (both Intel and Silicon) to create, open, edit and move files using Box Drive.
Our proofreaders use InCopy to open up InDesign layouts and make edits to individual "checked-in" stories on the page. In our pre-Box workflow, multiple InCopy proofreaders could open the same InDesign layout at the same time, but they could not check out the same stories. This prevented editing overlap. In our testing so far, Box Drive is allowing multiple users to check out the same stories, which presents a major conflict. Sometimes both users' changes are saved, sometimes just one user's changes are saved. At any rate, it's not workable for us.
Does anyone know a way to force Box to recognize that a story has been checked out and prevent another user from checking out the same file? Is there a best practice to refresh the file or folder before opening it?
Similarly, we noticed that multiple InDesign users can open the same .indd files at the same time (not allowed via MacOs Finder). When the layouts are saved by each user, a copy is made with a new file name by Box Drive automatically. This is important to visually show that there are now multiple copies of the same file, but I wish that Box simply prevented multiple users from opening the same file.
Can anyone using the InCopy/InDesign workflow help us figure this out?
