Box Sign for Workday integration enables organizations to send, sign, and track electronic signature requests directly from Workday using Box Sign. By connecting Box Sign with Workday, organizations can simplify document-driven workflows, reduce manual steps, and maintain secure, auditable records of signed documents—all within the Workday environment.
Key benefits
- Simplified HR workflows: Send offer letters, NDAs, policy acknowledgements, and other employee documents directly from Workday using Box Sign. This eliminates the need to switch between multiple systems, manually manage documents, or rely on separate e-signature tools, and enables HR and finance teams to focus on core processes.
- Faster approvals and signatures: Employees receive signature requests as Workday tasks and can review and sign documents directly in Box Sign. This reduces delays in onboarding, promotions, benefits enrollment, and other HR-related processes, and enables your organization complete workflows faster.
- Secure and centralized document storage: Signed documents and Signing Logs are stored in Box as the master record, while copies are automatically attached to Workday Personal Documents for employees. This ensures secure storage, simplifies retrieval, and provides a clear audit trail for compliance and reporting purposes.
- Better visibility and reporting: Track the status of signature requests, including pending, in progress, or completed requests, using Workday reports. This gives senders, signers, and administrators a clear view of task completion and signature requests progress and allows follow-up where needed.
- Support for both individual and large-scale use cases: Send documents to a single employee, a small team, or hundreds of employees efficiently, making it suitable for everything from individual contract reviews to company-wide acknowledgements.
Core capabilities
Distribute documents for signature from Workday
- Senders can initiate signature requests from within Workday by selecting one or more documents and distributing them to individual employees or groups.
- Why it’s valuable: Bringing Box Sign directly into Workday HCM workflows eliminates manual steps, ensures documents reach the right recipients, and enables teams to send signature requests quickly and efficiently as part of existing flows.
Sign documents via Box Sign in Workday
- Employees receive signature requests directly in their Workday tasks. By clicking the link, recipients can review and sign the document using Box Sign without leaving Workday.
- Why it’s valuable: Receiving signature requests directly in Workday tasks provides a consistent, streamlined signing experience, reduces delays, and ensures all tasks are completed as part of the Workday flows. It also reduces the chance of lost or missed signatures.
Signed document copies available in Workday Personal Documents
- After a document is signed, a copy is automatically attached to the recipient’s Personal Documents in Workday, while Box stores the master copy and Signing Logs.
- Why it’s valuable: Employees can access signed documents easily, improving personal record keeping and compliance, while maintaining a secure system of record in Box.
- Important Note: Box Governance and Zones won't apply to the Workday copies of documents.
Batch Send for large-scale distribution
- Send one document to multiple recipients simultaneously, with each recipient receiving their own individual copy for signature. Batch Sending supports up to 1,000 recipients per batch.
- Why it’s valuable: Batch Sending is ideal for large-scale workflows such as distributing company-wide policy acknowledgements or benefit forms. Each recipient receives a trackable copy, and HR teams save significant time by avoiding manual distribution and tracking.
Admin, Sender, and Signer Reporting
- Signers can view the status of their own signature requests, senders can monitor completion and pending signature requests, and administrators can see all signature requests initiated in Workday using Box Sign.
- Why it’s valuable: Reporting provides full visibility into initiated signature requests, helps senders to follow up on pending signature requests, and allows signers to review all their signature requests in one place—supporting governance and compliance.
