Core capabilities
Distribute documents for signature from Workday
Senders can initiate signature requests from within Workday by selecting one or more documents and distributing them to individual employees or groups.
Organizations can also configure Box Sign within Workday Business Processes so signature requests are automatically generated when a Business Process reaches the configured signing step.
Why it’s valuable: Bringing Box Sign directly into Workday HCM workflows eliminates manual steps, ensures documents reach the right recipients, and enables teams to send signature requests quickly and efficiently as part of existing or automated workflows.
Sign documents via Box Sign in Workday
Employees receive signature requests directly in their Workday tasks. Whether the request is sent manually or automatically through a Workday Business Process, recipients can review and sign the document using Box Sign without leaving Workday.
Why it’s valuable: Receiving signature requests directly in Workday tasks provides a consistent, streamlined signing experience, reduces delays, and ensures all tasks are completed as part of the Workday workflow. It also reduces the chance of lost or missed signatures.
Signed document copies available in Workday Personal Documents
After a document is signed, a copy is automatically attached to the recipient’s Personal Documents in Workday, while Box stores the master copy and Signing Logs.
Why it’s valuable: Employees can access signed documents easily, improving personal record keeping and compliance, while maintaining a secure system of record in Box.
Important Note: Box Governance and Zones won't apply to the Workday copies of documents.
Batch Send for large-scale distribution
Send one document to multiple recipients simultaneously, with each recipient receiving their own individual copy for signature. Batch Sending supports up to 1,000 recipients per batch.
Why it’s valuable: Batch Sending is ideal for large-scale workflows such as distributing company-wide policy acknowledgements or benefit forms. Each recipient receives a trackable copy, and HR teams save significant time by avoiding manual distribution and tracking.
Business Process support
Workday administrators can configure Box Sign as part of Workday Business Processes to automatically initiate signature requests without requiring users to manually create a distribution task. Depending on the Business Process configuration, documents can be automatically populated with information from Workday and the appropriate Box Sign template can be selected based on Business Process conditions.
Why it’s valuable: Adding Box Sign to Workday's Business Processes helps organizations standardize signature workflows, reduce manual data entry, improve consistency, and streamline HR processes such as onboarding, compensation changes, leave requests, and policy acknowledgements.
Admin, Sender, and Signer Reporting
Signers can view the status of their own signature requests, senders can monitor completion and pending signature requests, and administrators can see all signature requests initiated in Workday using Box Sign.
Why it’s valuable: Reporting provides full visibility into initiated signature requests, helps senders to follow up on pending signature requests, and allows signers to review all their signature requests in one place—supporting governance and compliance.
