Do I need to configure Box Utility in every Lightning app?
No. The Box Lightning app included with the Box for Salesforce managed package already includes Box Utility. You only need to configure Box Utility if you want it to appear in another Lightning app, such as Sales, Service Console, Marketing, or a custom Lightning app.
Box Notes
Where are Box Notes stored?
Every Box Note is stored as a standard .boxnote file in Box. Depending on where the note is created, it is stored either:
- in the Box folder associated with a Salesforce record.
- in the user's personal My Salesforce Box Notes folder.
Because the notes are stored in Box, they support the same collaboration, permissions, and version history as other Box content.
What is the difference between record-level notes and personal notes?
Record-level notes are created while viewing a Salesforce record and are stored in that record's Box folder. Personal notes are created outside of a Salesforce record and are stored in the user's personal My Salesforce Box Notes folder until they are associated with a Salesforce record.
What happens if a Salesforce record doesn't already have a Box folder?
Box for Salesforce automatically creates the required Box folder the first time a record-level Box Note is created.
Can I move a record-level note to another Salesforce record?
No. Once a note has been created in a Salesforce record's Box folder, it remains associated with that record unless you explicitly move it to the different folder in Box.
Why can't I find the Salesforce record I'm searching for when clicking on “Associate”?
The Associate allows you to only search Salesforce objects that have been configured in the Folder Name Configuration custom setting. If the object you're looking for hasn't been configured, records from that object won't appear in search results. An object may also be omitted if you don't have permission to access it. Who can see my personal Box Notes?
Personal Box Notes are stored in your My Salesforce Box Notes folder. They remain private and visible only to you unless you explicitly share them through Box or associate them with a Salesforce record, at which point access is determined by the permissions on the destination Box folder.
Are Box Notes automatically shared with other users?
Record-level notes inherit the collaboration and permissions of the Box folder where they are stored. Personal notes remain private until you choose to share them or associate them with a Salesforce record.
Box File Uploads
What can I do on the File Uploads tab?
You can add files to the Box folder associated with a Salesforce record in two ways: upload new files from your computer, or migrate Salesforce Files that are already attached to the record. Both go to the same Box folder that is already linked to the record.
Does migrating a Salesforce File remove it from Salesforce?
No. Migration copies the file into Box. The original file stays attached to the Salesforce record and is not moved or deleted. After migration you have the file in both places.
Which files can I migrate?
Salesforce Files that are attached to the record you're viewing, up to 10 at a time, each 25 MB or smaller. Files that have already been migrated are marked Already in Box and cannot be selected again.
Where do my uploaded files go, and who can see them?
Everything you add through File Uploads is saved to the Box folder associated with the Salesforce record. Files inherit the collaboration and permissions of that folder, so anyone with access to it can see them.
Can I upload files to a record that doesn't have a Box folder yet?
Yes. Box for Salesforce can create the folder for you. On a record page, select Yes, create folder when prompted.
What happens if only some of my files migrate successfully?
A batch can partly succeed. The confirmation message reports how many files migrated and how many failed. The files that succeeded are marked as already in Box; you can try the failed ones again.
Can I hide the File Uploads tab?
Yes. When Box Utility is added to a Lightning app as a utility item, an administrator can set Show Box Upload Tab to false to hide File Uploads and leave Box Notes visible. Administrators can also change the order the tabs appear in using Box Upload Tab Order. See Setting up Box Utility in Salesforce.
