Do I need to configure Box Utility in every Lightning app?
No. The Box Lightning app included with the Box for Salesforce managed package already includes Box Utility. You only need to configure Box Utility if you want it to appear in another Lightning app, such as Sales, Service Console, Marketing, or a custom Lightning app.
Why should I configure Box Utility with a width of at least 900 pixels?
We recommend configuring the Box Utility panel with a width of 900 pixels or greater. At widths of 900 pixels or more, the Box Note title is displayed within the Box Utility interface. Because note renaming is performed through the title field, this allows users to view and rename Box Notes directly in Salesforce. If the panel is configured with a narrower width, users can still create, view, and edit Box Notes, but the note title is not displayed in the utility panel. In this case, notes can still be renamed from the Box web application or through the Box Embed Widget. We are actively working to improve the experience for smaller panel widths in a future release.
Where are Box Notes stored?
Every Box Note is stored as a standard .boxnote file in Box. Depending on where the note is created, it is stored either:
- in the Box folder associated with a Salesforce record.
- in the user's personal My Salesforce Box Notes folder.
Because the notes are stored in Box, they support the same collaboration, permissions, and version history as other Box content.
What is the difference between record-level notes and personal notes?
Record-level notes are created while viewing a Salesforce record and are stored in that record's Box folder. Personal notes are created outside of a Salesforce record and are stored in the user's personal My Salesforce Box Notes folder until they are associated with a Salesforce record.
What happens if a Salesforce record doesn't already have a Box folder?
Box for Salesforce automatically creates the required Box folder the first time a record-level Box Note is created.
Can I move a record-level note to another Salesforce record?
No. Once a note has been created in a Salesforce record's Box folder, it remains associated with that record unless you explicitly move it to the different folder in Box.
Why can't I find the Salesforce record I'm searching for when clicking on “Associate”?
The Associate allows you to only search Salesforce objects that have been configured in the Folder Name Configuration custom setting. If the object you're looking for hasn't been configured, records from that object won't appear in search results. An object may also be omitted if you don't have permission to access it. Who can see my personal Box Notes?
Personal Box Notes are stored in your My Salesforce Box Notes folder. They remain private and visible only to you unless you explicitly share them through Box or associate them with a Salesforce record, at which point access is determined by the permissions on the destination Box folder.
Are Box Notes automatically shared with other users?
Record-level notes inherit the collaboration and permissions of the Box folder where they are stored. Personal notes remain private until you choose to share them or associate them with a Salesforce record.
