Search files by user
We are looking to do some user housekeeping and remove accounts that are no longer in use. When deleting a user you are shown the number of files/folders that they own. However, when we go to search and filter by that user, no files are shown. Is that because the user is disabled and if so, how do we see the files that they own?

Hi there,
Welcome to the Box Community!
You might be encountering an issue that is similar to what is described in this article when viewing your user's storage usage in the Admin console:
Sometimes Box caches previous file counts and storage amounts causing a data inconsistency. This is a known issue and is a long term project for our engineering team to tackle. You can submit a support ticket to Product Support team and they can run a script to help correct the storage usage and file count on the affected user/s Box.
Thanks for reaching out and please let me know if you have any questions!
Best,

Thank you for your response, but we don't think it's a caching issue. We know that certain disabled users own files, but when we try to search by owner the results are empty which we know is inaccurate. Maybe we can try making them active again and try the search again to see if any results are returned.

Hi there,
May I ask when you said disabled users, are these accounts set to "Inactive" status in the admin console?
If so, I believe it's expected behavior that contents they own will be inaccessible to all collaborators, so searching these contents from the All files page will show no result. If you are an admin or co-admin with access to manage user's content, you should be able to see these contents from the "Content Manager" menu, check out this article on how to use the Content Manager: https://support.box.com/hc/en-us/articles/360044197333-Using-the-Content-Manager
I also recommend this article for best practices when deleting managed users: https://support.box.com/hc/en-us/articles/360043694514-Deleting-a-User-and-Transferring-Their-Content
