Unmanaged users are Box users who:
- Have unlicensed and unpaid personal Box service accounts that are acquired independently of an Admin or Co-admin and that do not belong to your Box organization
- Possess email addresses from your domain or verified domains (domains owned or
controlled by your organization) - Collaborate on your enterprise content
Note
Unmanaged users are not controlled or monitored by your Admin, Co-Admin, or your organization's
security policies, meaning that they represent a potential security and compliance risk. Box advises you to convert them to managed users as soon as you can.
As an Admin, you can do the following with unmanaged users:
- View details of an unmanaged user
- Manage folders that have been shared with a unmanaged user
- Invite unmanaged users to become managed users
- Delete an unmanaged user
To view the unmanaged users associated with your account, go to Admin Console > Users & Groups, select the External Users tab, and then select Unmanaged Users from the drop-down list. On the list of your unmanaged users you can:
- View when they were last active
- View how many documents/folders they collaborate
- Convert them to managed users
- Remove their collaborations (with the delete option)
- Invite Status (invite to join enterprise)
- Select them for a bulk update.
There is a subset of users that have Box service accounts that are acquired independently of an
Admin or Co-admin and possess email addresses from your domain or verified domains but do
not collaborate on your organization's content. While these are not Unmanaged Users (sometimes
referred to as Freemium Users), they still are uncontrolled members of your organization and
Box encourages you to convert these users to Managed Users and enable Auto Enrollment to
gain visibility into their activity and avoid security and compliance risks
