With the introduction of AI Home and Automate, we are excited to introduce an additional collaboration setting for items created by these and other products and features.
Some products and features create files and other items that are owned by users but stored outside the primary file system accessible to them. For example, the workflows created to power Box Automate. By default, the enterprise’s external collaboration setting applies to these items. To provide tighter control, we are introducing a new admin setting that allows organizations to restrict collaboration controls for these items. This update is especially important for enterprises with restricted content creation enabled for first-level folders, files, and bookmarks, as it ensures that the external collaboration and sharing behavior for these new types of items (stored outside that first-level structure) aligns with enterprise-wide collaboration policies.
Available in the Admin Console under Enterprise Settings in the Content & Sharing tab, the setting allows admins to narrow collaboration options beyond the primary external collaboration setting. This helps organizations apply more consistent governance, reduce risk, and maintain administrative control.
