We're excited to announce Automated Archive, a new capability coming soon that enables organizations to automatically archive files and folders based on rules admins define, bringing governance directly into the workflow.
What Is Automated Archive?
Content accumulates fast. Project folders that wrapped up months ago. Employee records past their retention period. Contracts that have been fully executed and filed. Without a systematic approach, this content sits in your environment indefinitely, creating clutter, compliance risk, and unnecessary storage overhead.
Automated Archive lets admins define rules that automatically archive files and folders based on conditions they set. Once the conditions are met, Box Automate handles the rest. Content is moved, retained, and governed according to the rules your team defines.
How It Works
Admins configure archive workflows in the Automate Tab within the Admin Console. There will now be an “Admin Workflows” subtab where admins can build admin only Automate workflows. It uses the same drag-and-drop interface used for all Automate workflows, but with a few updates:
- There is a new outcome called Archive Action only available in the Admin Console
- You can start from one of several pre-built templates
- There are no Agents available for Admin workflows at this time
Why It Matters
For enterprise compliance and governance teams, managing inactive content is one of the most persistent operational challenges. Policies require content to be archived on schedule, but without automation, these tasks are often manual, inconsistent, or forgotten altogether.
Automated Archive helps streamline this challenge by enabling teams to automate archiving in alignment with organizational policies. Because it runs natively on Box, every archive action automatically inherits Box permissions, classification, and compliance policies already applied to your content. Every workflow execution is logged, giving your team a clear audit trail of what was archived, when, and why.
Important Notes
- Automated Archive is available in the Box Automate builder in the Admin Console under Admin Workflows
- Archive workflows are enterprise-owned so they persist even if the workflow author's role changes
Availability
Automated Archive is expected to be available for Enterprise Advanced plans with access to Box Automate.
