Whether your legal hold is applied to a custodian or a folder, Box enables you to export the most recent version of the contents belonging to that legal hold.
You can export a maximum of two legal holds simultaneously per organization. If you try to simultaneously export the contents of more than two legal holds, you'll receive an error message and will need to cancel or delete the extraneous exports.
Files in a legal hold export are collected and compressed into one or more archive (zip) files. A single legal hold archive file can contain up to 5000 files and be up to 16.11 GB in size. Legal hold exports that surpass either of these limits will be split into multiple archive files.
Based on the size of content being exported, completion of the export can take up to seven days.
While the export of contents is in progress, you can cancel the export.
After the export is complete, Box displays the status of the exported exported contents as Available to download. You can then either delete the exported contents or view and download the exported contents in the legal hold.
Exporting contents in a legal hold applied to a custodian
To export contents in a legal hold applied to a custodian:
- Go to Admin Console > Governance.
- Click the Legal Holds tab.
- Click the name of a hold that is applied to a Custodian.
- Click Export Content (
).
- In Export Name, enter a name for the export.
- Click Select Custodians.
- In the Select Custodians on Legal Hold dialog box, enter the names or email addresses of custodians. Use commas or new lines to separate the entries.
- Click Done.
- In the File Type drop-down list, select the type of file to include in the export. You can choose any of several file types, or Any Type to include all file types..
- In Date Range - Content Creation (required), select:
- Use uploaded date (the data the file was uploaded to Box)
- Use content creation date (the date the file was created on desktop)
- Specify a Start Date and End Date.
Note
While the date range determines which files get included in the export, it is the latest version of those files that are exported.
- Click Next.
- Click Start Exporting Content.
Exporting contents in a legal hold applied to folders
To export contents in a legal hold applied to a folder:
- Go to Admin Console > Governance.
- Click the Legal Holds tab.
- Click the name of a hold that is applied to a Custodian.
- Click Export Content (
).
- In Export Name, enter a name for the export.
- Click Select Folders.
- Select the checkbox for each folder you want to include in the export.
- Click Done.
- In the File Type drop-down list, select the type of file to include in the export. You can choose any of several file types, or Any Type to include all file types..
- In Date Range - Content Creation (required), select:
- Use uploaded date (the data the file was uploaded to Box)
- Use content creation date (the date the file was created on desktop)
- Specify a Start Date and End Date.

- Click Start Exporting Content.
Canceling the export of a legal hold's contents
If an export's status is "In Progress", you can cancel the export.
To cancel the exportation of contents in a legal hold:
- Go to Admin Console > Governance.
- Click the Legal Holds tab.
- Click the name of a legal hold.
- At the bottom of the summary window, under Exports find the export's name.
- Next to the export's name, click Cancel.
- In the confirmation window, click Delete Export.
Deleting the exported contents of a legal hold
If an export's status is "Available to download", you can delete the exported contents. Box deletes only the exported copies of these contents; the original contents remain in their legal holds.
To delete exported contents :
- Go to Admin Console > Governance.
- Click the Legal Holds tab.
- Click the name of a legal hold.
- At the bottom of the summary window, under Exports find the export's name.
- Next to the export's name, click Delete.
- In the confirmation window, click Delete Export.
Viewing and downloading the exported contents of a legal hold
If an export's status is "Available to download", you can view and download the exported contents.
To view and download the exported contents of a legal hold:
- Go to Admin Console > Governance.
- Click the Legal Holds tab.
- Click the name of a hold.
- At the bottom of the case summary window, under Exports find the export's name.
- Next to the export's name, click View. Box displays the exported contents of the legal hold, listed in "batches" of files.
- Next to the desired batch, click Download.
