The Dispositions page is only available if access has been granted.
If available, Dispositions can be selected by clicking More in the sidebar menu from within the Box platform.
The Dispositions page contains:
- All active, non-trashed, files under retention policy
- The disposition date for the most recent file version (i.e. when the retention policy governing the files will expire and a disposition action will be executed at the end of retention)
The list contains all files that the user owns or collaborates on. It shows files based on their most recent version, with expiration based on the winning policy (i.e. the policy with the longest duration) that has been enabled by the admin in Governance Settings.
Important: The list of expiring files is updated daily, i.e. bulk updates to the list are done once a day. This means there might be small discrepancies, such as if a file falls under a conflicting retention policy between data calculations. It may take up to around 48 hours until changes are reflected on the page.
Manual file extensions are immediately reflected in the list. File name changes and updated date changes are reflected after refreshing the page.
Note: After turning on the disposition page setting for at least one person, Box will start processing your enterprise's data. It can take up to 2 days until the data starts to display.
We prioritize the processing of files expiring in the next 12 months, then asynchronously process content expiring further in the future. This may lead to a situation where content expiring further in the future gradually displays in the subsequent days after enablement.
Files within the Dispositions page can be:
- Filtered by name, disposition timeframe, disposition action, location, and access level
- Downloaded, shared, and previewed (prior to disposal)
- Sorted by columns (the disposition date is in ascending order by default)
-
Extended (if you are an owner or co-owner, and the admin has enabled the required policy setting)
- If the policy doesn’t allow for an extension or if a user is not an owner or co-owner, the extend button will be disabled
Extend the disposition date
Owners and co-owners of files can extend the disposition date if your admin has enabled the required policy setting. To extend the disposition date:
- Select Dispositions from the sidebar.
- Hover over the file you want to extend the date for.
- Select the clock icon.
- Select how long you want to extend the disposition for. Options include 7 days, 1 month, and 1 year.
- Select Save.
An exclamation mark on the list indicates the file is governed by a policy which doesn’t allow for extension. It also depends on the winning policy settings. If a shorter policy allows for extensions but a longer (winning) policy doesn’t, the user will not be able to extend the disposition date.
