Unmanaged users are Box users who:
- Have unlicensed and unpaid personal Box service accounts that are acquired independently of an Admin or Co-admin and that do not belong to your Box organization.
- Possess email addresses from your domain or verified domains (domains owned or
controlled by your organization). - Collaborate on your enterprise content.
Note: Unmanaged users are not controlled or monitored by your Admin, Co-Admin, or your organization's security policies, meaning that they represent a potential security and compliance risk. Box advises you to convert them to managed users as soon as you can.
As an Admin, you can:
- View details of an unmanaged user
- Manage folders that have been shared with a unmanaged user
- Convert unmanaged users to managed users
- Delete an unmanaged user
To view the unmanaged users associated with your account
- Go to Admin Console > Users & Groups.
- Select the External Users tab.
- Select Unmanaged Users from the drop-down list.
Unmanaged Users Who Do Not Collaborate On Content
Unmanaged users who do not collaborate on your organization's content are also sometimes called "Freemium" users. They do not appear in the Unmanaged Users list, but they still are uncontrolled members of your organization and Box encourages you to convert these users to Managed Users and enable Auto Enrollment to gain visibility into their activity and avoid security and compliance risks.
To identify these users, an Admin must contact their Box Customer Support representative. Once the email addresses of these users are obtained:
- Create a new, empty, temporary folder in Box.
- Invite those users to collaborate on the folder by using those email addresses.
- Allow 24 hours for the Unmanaged Users list to update.
- Convert those unmanaged users to managed users.
