This is a list of frequently-asked questions about the Box for Oracle NetSuite integration. It is intended primarily for Box and NetSuite admins.
CRITICAL ALERT FOR CUSTOMERS RUNNING BOX FOR ORACLE NETSUITE V1 or V2 - Within the next few months, NetSuite will be ending their support of Outbound SSO, also known as SuiteSignOn (read more here). In order to ensure our customers are not impacted, we'll be releasing Box for Oracle NetSuite v3 in the coming weeks. On release, please use the Box for Oracle NetSuite v3 migration support article in order to update your Box for NetSuite instance and migrate your data. Existing customers must complete the migration step when upgrading to v3 to avoid losing critical bundle data.
Can I force everyone in my organization to use the default folder structure I set up? That is, can I hide the “Choose Existing Folder” option?
Not at this time. It will become available in the future as an enhancement to this integration.
How do I migrate the existing contents of NetSuite file cabinets to Box folders?
It is not part of this integration. This requires custom development.
Can I modify the default folder structure?
Yes, with custom scripting and development, using both NetSuite Suitescripts and Box APIs.
What if I associate a Box folder with a record for which people have different permission levels in Box? For example, what if they have edit access in Box but only view access for the NetSuite record?
Depending on what the admin has configured, the NetSuite role-based permissions associated with a record supersede their corresponding Box permissions on access. As each new individual accesses the folder, the system recalibrates permissions on an individual basis, for each person, based on that person's NetSuite role.
Each time someone accesses a NetSuite record, the integration reconciles the person's permissions on that Box folder with the NetSuite-to-Box permission mapping that the admin set up in the NetSuite record type file.
While typically you’ll assign permissions in Box that mirror the NetSuite record permissions, you have complete control to assign to folder members whatever access permission you want.
I have multiple instances of NetSuite. Can I install Box for Oracle NetSuite and link them to a single Box account?
Yes. You can link a Box enterprise/business to multiple instances of NetSuite (such as production, sandbox, and so on.) For every NetSuite instance connected to Box, the integration creates a new root folder for that instance. However, you cannot link a single NetSuite instance to multiple instances of Box.
Can I associate 1 Box folder with multiple NetSuite records?
No. We only support a 1:1 ratio.
