The Launch Zoom from Box integration enables you to create or join a Zoom conference directly from Box File Preview. You never have to toggle away from Box to go to your calendar or Zoom app to set up or join a meeting. This is especially useful when you wish to collaborate on or review a document with people in real-time. Simply preview the relevant file in Box. In a vertical sidebar to the right of the preview screen Box displays icons for third-party applications you may be likely to use. Click the Zoom icon, and either:
- set up an impromptu meeting and invite others to join; or
- select from a list of previously-scheduled meetings to join
In addition, even if you’re not participating in a meeting, you can see a list of your upcoming Zoom meetings, again just by clicking the Zoom icon in Preview.

When you try using the Launch Zoom from Box integration for the first time, Box displays a series of prompts that lead you through a brief installation process. You must:
- Accept the terms and conditions of Zoom integration
- Add the Zoom integration to your Box account
- Connect Box with your Google calendar

To start a new Zoom meeting and invite others to join
- Preview the file you want to discuss in the meeting.
- In the apps sidebar on the right, click the Zoom icon ().
- In the Launch Zoom from Box window, click Start a New Zoom Meeting.
- The Launch Zoom from Box window refreshes with a meeting link and an address box in which to enter your meeting invitees. Ask people to join your meeting in either of two ways:
- Send a link to your meeting to anyone you like, anywhere. To do this, in the Share the meeting link box click Copy. The link is now in your clipboard, and you can distribute it via a range of apps (email, Slack, and so on).
- Invite any Box accountholder directly from this window. To do this, in the Invite people as participants box, begin typing in the names of the people you wish to invite to the meeting. Box displays a list of possible invitees as you type. Click the person you want. Repeat this process for each person you wish to invite.
- The list of potential invitees includes anyone who has collaborated on the file, from most recent collaboration to oldest, regardless of whether they’re within or external to your organization.
- Invitees receive an email that includes the link they can click to join your meeting.
- You can invite up to 300 people to your Zoom meeting.
- When you’re done, click Join Zoom Meeting. The meeting begins, and your invited guests can join as soon as they receive your invitation.
You can also see a list of your upcoming Zoom meetings, and join the meetings, also directly from Box Preview.
To join a previously-scheduled Zoom meeting
- Preview the file you want to discuss in the meeting.
- In the Recommended Web Integrations sidebar on the right, click the Zoom icon ()
- In the Launch Zoom from Box window, below Join a Meeting, Box displays a list of your upcoming Zoom meetings. (Box gets this information from your existing calendar app, which is why it’s important to share your calendars with the Launch Zoom from Box integration.) Click the meeting you want to join.
Note
To ensure the meetings you see are relevant, Box displays only those meetings scheduled for the current day. In other words, if you're using the integration on Tuesday, you see only meetings scheduled for that day -- not for Wednesday or beyond.
If you do not see your meetings, please try clearing your browser cache.
Regardless of whether you have created a new meeting or joined a previously-scheduled meeting, you can share the document you’re previewing with meeting participants by sharing your Zoom screen, just as you normally would.
Finally, you can remove the Zoom integration.
To uninstall the Launch Zoom from Box integration
- Log in to your Zoom account and navigate to the Zoom App Marketplace.
- Go to Manage > Installed Apps.
- You can instead search for the Box app.
- Click the Box app.
- Click Uninstall.
