What is the Box Connector for Microsoft Graph?
The Box Connector for Microsoft Graph allows Box and Microsoft customers to index Box data so it appears in Microsoft 365 experiences. By enabling this integration, Microsoft 365 users can discover Box content from Microsoft Search, Microsoft 365 app, or Microsoft copilot. If a user selects a Box search result, they will be directed to that content in Box for further collaboration and capabilities.
How does the Box Connector for Microsoft Graph work?
Using Box’s APIs, Microsoft Graph will ingest metadata related to Box content including File Name, File Type, Last modified date + user. To enhance the search experience, you have the option to choose if the Box Connector for Microsoft Graph can also index the contents of your files (in addition to the metadata). This option allows Microsoft to query the first ~1-2 pages of your content, along with a thumbnail preview of the file, allowing for a better search result experience. The maximum file size for text data is 4MB.
How does Copilot for Microsoft 365 work with the Box Connector for Microsoft Graph?
Copilot for Microsoft 365 leverages the Box Connector for Microsoft Graph by making it easy for users to access, summarize, and learn important details about their Box content. After the Box Connector for Microsoft Graph has been enabled and your content has been synced, users can leverage Microsoft Copilot in Microsoft Teams, Microsoft365.com, or copilot.microsoft.com and ask questions on Box content to easily derive information.
Does the Box Connector for Microsoft Graph index all Box content? What are the limits?
No, based on Microsoft’s existing ingestion rates, the Box Graph Connector will only surface your organization’s most recent content and favorites files (not folders) as opposed to all content within your Box EID. The current limit is 100,000 files per tenant. You will not be able to choose the folders or owners of the content you want to sync. If the limit is exceeded, content that appears most frequently is prioritized.
What if I am still seeing a limit of 20,000 files being indexed?
We recently made changes to our Graph Connector to index 100,000 files per tenant (up from 20,000 files). If the changes were not applied to your tenant, you can request them by filling out this form.
Is there a way to schedule the syncing process?
Syncing happens automatically and there is currently no option to schedule when a sync should happen.
How are permissions handled by the Box Connector for Microsoft Graph?
Content permissions are fully managed by Box and kept up to date as users are searching within Microsoft. For example, if a user does not have access to a Box file (or was revoked access), that file will not appear as a search result for that user. The integration will perform regular refreshes to ensure both Box and Microsoft are in sync, with Box being the single source of truth for access to content in Box. Each user will also need to have the file in their Favorites or Recents for it to appear for them in Microsoft 365.
Does the Box Connector for Microsoft Graph require any licensing or cost?
To use the integration, you must have a valid Microsoft Tenant with an existing search quota. To find out more about Microsoft search quotas: https://learn.microsoft.com/en-us/microsoftsearch/licensing
What if a user's email credentials do not match between Box and Microsoft 365?
If a user’s email addresses do not match, the integration will not sync the user’s Box content. To use the Box Connector for Microsoft Graph, a user’s Box email address should match their User Principal Name (UPN) in Microsoft.
Are all file types supported by the Box Connector for Microsoft Graph?
Metadata of all file types are ingested but content and thumbnail are limited to the 120+ file types supported by Box. A full list of supported file types can be found here.
Can KeySafe customers use the Box Connector for Microsoft Graph?
