When enabled, Dispositions allows users in your organization to view files that are set to be disposed of due to retention policies.
The setting is disabled for all managed users by default. It can be disabled or enabled for all managed users, with various possible permutations available for users and groups. Additional information is available in Enterprise Settings: Content & Sharing.
Certain retention behaviors and disposition actions are tracked within the Disposition Report. File management regarding the extension of retention periods is tracked within the User Activity Report.
Disposition actions
Disposition actions can be set when creating a retention policy via Admin Console > Governance > Retention.
You can determine which disposition actions take place for content managed by the retention policy when the retention period ends. The options include None, and Permanently delete content. Changes are made in Governance settings.
Retention Disposition notifications
You can determine which managed users will receive a weekly disposition email notification, via Governance settings. When notifications are enabled, they are sent by email on Wednesdays to users who are configured to receive them and have any files they own, or collaborate on, where the file is expiring in the next 14 days.
See email notifications for all permutations and more information.
End user functionality
The Dispositions page is only available if access has been granted. If available, the Dispositions page can be selected by clicking More in the sidebar menu from within the Box platform.
The Dispositions page contains:
- All files under retention policy
- The disposition date for the most recent file version (i.e. when the retention policy governing the files will expire and a disposition action will be executed at the end of retention)
For more information on the end user experience, see Using the Dispositions page.
Extend the disposition date
If you are an owner or co-owner, and the admin has enabled the required policy setting after selecting enable Permanently delete content in Governance settings, you may be able to extend the disposition date.
