Issue
When inviting users within the same tenant to a folder, entering their names or partial email addresses does not display the intended users in the list of suggestions.
Similarly, when creating an Automate workflow, users within the tenant cannot be selected as task assignees or notification recipients.
This can affect managed users in your enterprise, and external users who already appear under Admin Console → Users → External.
Root Cause
A few things can cause this:
- The inviting user’s shared contact setting is disabled
- The invited user is inactive
- For external users: contact suggestions only include people the inviting user has invited themselves, or already collaborates with on shared content. Appearing in Admin Console → Users → External does not mean every managed user can find that person in search.
Resolution
Ask your Box administrator to verify the relevant user settings.
If the missing user is external:
- Confirm whether the person configuring the invite or workflow already collaborates with that user, or has invited them before.
- For folder invites, type the full email address manually. Suggestions are not required to send the invite.
- For Automate, free-form email entry is not supported. Have someone who already collaborates with the recipient configure the notification, or notify them outside Automate.
