Overview
When a sender classifies a recipient role as “Get a Copy” in a signature request, the recipient receives a copy of the completed document after all signers/approvers have completed the request. If you are an admin or co-admin with edit permissions, you can select whether your users classified as “Get a Copy” recipients receive an email with a temporary link to the final copy and a copy of the completed signature request automatically in the recipient’s Box account or whether the recipient will only receive an email with a temporary link to the signed documents.
An admin or co-admin with edit permissions can enable the recipient control setting for the “Get a Copy” role in Box Sign to automatically save copies of completed signature requests to the “My Signed Documents” folders for those recipients who have been classified as “Get a Copy” recipients. Leaving this feature disabled will prevent your users from automatically receiving completed files in their Box accounts when added as a “Get a Copy” recipient to any Box Sign signature request.
Enabling "Get a Copy" Role
To enable the recipient settings for “Get a Copy” role, please follow the below steps:
- Go to the Admin Console > Enterprise Settings.
- Click the Box Sign tab.
- In the Recipient Controls setting, toggle “Get a Copy” Role.
- Click Save.
- If you disable the recipient control setting for the “Get a Copy” role, then any recipients classified as “Get a Copy” recipients in the signature request will only receive a link to the signed documents. This link will expire at the end of 80 days from the date of the link being sent.
- From the sender’s perspective, however, there is an exception: if the sender is also a "Get a copy" recipient in the request. In that case, regardless of the settings for the "Get a copy" role, the sender will get the finalized documents in the "My Signed Documents" folder under their account. If it is not possible to create that folder automatically, then they will also get the link in their email, which expires at the end of 80 days.
- Admins should ensure that these signed documents are appropriately downloaded, stored and/or printed by the recipients classified as “Get a Copy” as the signed documents will not be saved in any folder within Box if this recipient control setting is disabled.
Impact on Other Roles
The recipient control setting does not impact users who have been classified as “Signers” or “Approvers” in a signature request. Those users will still receive the completed signature requests within the “My Signed Documents” folders once the signature request has been completed by all recipients.
If a recipient has been added to a signature request as either a “Signer” or an “Approver” accidentally, then the recipient can decline the signature request. By doing so, the user will be removed as a recipient to the signature request and will not have a final copy of the signed documents saved to the recipient’s Box account. However, recipients classified as “Signers” or “Approvers” will also receive an email with a temporary link to the completed signature request.
