Box Sign is now available on all business (Business , Business Plus) and enterprise (Enterprise, Enterprise Plus, Enterprise Suites) plans. Box will notify customers before Box Sign becomes available on Starter plans.
If you're an admin or co-admin with edit permission in an instance of Box Sign, you can:
- Enable Box Sign for everyone in your organization.
- Enable Box Sign only for up to one hundred individuals you designate in an "allow list".
- Enable Box Sign for everyone except for up to one hundred individuals you designate in a "deny list".
- Disable Box Sign for all users.
Enabling Box Sign
IMPORTANT: During the roll-out of Box Sign, it will be defaulted to off in the instances where it is available. After an admin or co-admin enables Box Sign, all requests that are sent through it will currently present a default Electronic Record and Signature Disclosure from each requestor to each signer. To enable co-admins to access Box Sign permission:
- In Admin Console, in the left sidebar click Users & Groups.
- Click Managed Users.
- Click the name of the co-admin to whom you want to grant access for Box Sign permission settings.
- Scroll down to the Edit User Access permissions section.
- In the Sign subsection, click View and edit Sign permissions.
Also ensure Edit User Access permissions > Reports and Settings > Edit Settings and apps for your company is enabled for co-admins.
To enable Box Sign for your managed users:
- In the Admin Console, in the left sidebar click Enterprise Settings.
- In the top of the window, click Box Sign.
- Under the Box Sign enablement option, click Edit Configuration. Box displays the Configure Sign window.
- Click the enablement options you want. If you enable Sign for select users, or for everyone except select users, type the names or email addresses of the individuals you want to allow or deny, respectively. You can enter up to 100 names or email addresses. If you want to enable or disable more than that, you'll need to enable or disable Sign for your entire organization.
- Click Save.
Enabling Box Sign templates
Enable templates to allow people to create, edit, or delete Box Sign templates.
To enable Box Sign template creation for your managed users:
- In the Admin Console, in the left sidebar click Enterprise Settings.
- In the top of the window, click Box Sign.
- Under the Templates permissions option, click Edit Configuration. Box displays the Configure Template Permissions window.
- Click the template options you want. If you enable Box Sign templates for select users, or for everyone except select users, type the names or email addresses of the individuals you want to allow or deny, respectively. Enter up to 100 names or email addresses. If you want to enable or disable more than that, you'll need to enable or disable Box Sign templates for your entire organization.
- Click Save.
Box Sign access for developers
If your enterprise has access to Box Sign, then any developer is able to build an app that can make requests via the Box Sign API. You can manage which apps have access to your enterprise via the custom apps tab in the admin console. (view the article)
In order to approve apps that make Box Sign API requests, use the custom app tab in the admin console to view app details. If the app has the ‘Manage signature requests’ scope enabled, then by approving apps that have this scope, you will be allowing these apps to access Box Sign via API.
If you choose not to grant developer access to the Box Sign API, decline any apps that have the ‘Manage signature requests’ scope enabled. Additionally, turn on the ‘Disable unpublished apps by default’ toggle in the custom apps settings to ensure that all unpublished apps created by a developer within your enterprise require app approval.
Note: If you have OAuth 2.0 apps that are active within your enterprise, you will need to add their client IDs to the ‘Disable unpublished apps by default’ setting to keep them enabled.
