Overview
If you are an admin or co-admin with edit permissions, you can control whether a disclosure is presented to signers on behalf of your organization whenever your users send a signature request. The setting also allows you to review the default disclosure and create your own custom disclosure for your organization’s signature requests.
The default disclosure configuration is described in the Sender Disclosure Embedded in Box Sign article.
This article is for informational purposes only and should not be relied upon as legal advice. If you have any specific legal questions, you should consult legal counsel licensed in the applicable jurisdictions before deploying any particular solution using Box Sign for electronic delivery, signature, or record retention purposes.
Giving co-admins access to Sign legal settings
Before a co-admin can modify your enterprise's Box Sign legal settings, you must first grant the co-admin access.
Enabling and disabling the embedded disclosure
When a user sends a signature request through Box Sign, a disclosure is presented to the signer on the senders behalf unless the sender’s admin has disabled presentation of the disclosure.
From the Admin Console, you can disable or enable whether this disclosure is presented to signers as part of your organization’s signature requests, preview the default disclosure, or create a customized disclosure.
To enable or disable the embedded disclosure:
- Go to Admin Console > Enterprise Settings.
- Click the Box Sign tab.
- In the Disclosure Settings setting, toggle Enable Disclosure to the desired value. To preview the Box Electronic Record & Signature Disclosure (ERSD), click Preview.
- Click Save.
Adding and modifying a custom disclosure:
If you don't want to use the Box Sign default disclosure, Box enables you to add and modify a disclosure you customize for your enterprise.
How to add or modify a custom disclosure:
- Go to Admin Console > Enterprise Settings.
- Click the Box Sign tab.
- In the Disclosure Settings section, enable Enable Disclosure.
- In the Disclosure Customization section, select Customized Disclosure.
- In the text box, type your custom disclosure using plain text and format with HTML tags. Box supports the following HTML tags:
- links <a href> and <a>
- bold <b>
- line breaks <br>
- italic <em>
- italic <i>
- strong <strong>
- span <span> and
- underline <u>.
- To review your custom disclosure before saving it, click Preview.
- Click Save.
Box applies changes to the disclosure after you save it. Changes made to the disclosure apply only to signature requests sent after the disclosure is saved. Signature requests that are "In-Progress" display the disclosure that was in use when you sent the request.
You're responsible for updating or canceling any pending signature requests if needed.
Signature Log
Box appends any enabled disclosure to the end of every signature log.
Signer Experience
For each document sent for signature, Box displays the disclosure consent banner once for every signer and for each appearance in the signing order. If your organization has the presentation of an embedded disclosure enabled, your signers will see a link to that disclosure. Signers can click on this disclosure hyperlink in the consent banner to view the disclosure associated with the signature request.
