Overview
Box Sign allows admins and co-admins to enable, disable, review, and customize the Electronic Record and Signature Consent Disclosure (ERSD) for their enterprise's signature requests. For each document sent for signature, Box displays the legal disclosure consent banner once for every signer and for every appearance in the signing order.
Giving co-admins access to Sign legal settings
Before a co-admin can modify your enterprise's Box Sign legal settings, you must first grant the co-admin access to them.
To allow a co-admin to access Box Sign legal settings:
- In Admin Console, in the left sidebar click Users & Groups.
- Click Managed Users.
- Click the name of the co-admin to whom you want to grant access permissions for Box Sign legal settings.
- Scroll down to the Edit User Access Permissions section.
- In the Reports and Settings subsection, ensure Edit Settings and apps for your company is enabled.
- In the Sign subsection, click View and edit Sign legal settings.
- In the bottom of the Edit User Access Permissions section, click Save.
Enabling and disabling the Sign ERSD
After enabling Sign for your enterprise, Box enables and displays a general ERSD statement by default.
Whether your enterprise uses the default ERSD provided by Box or your own customized ERSD, the Admin Console allows you to disable, enable, and preview the ERSD.
To enable or disable the Sign ERSD:
- In the Admin Console, in the left sidebar click Enterprise Settings.
- In the top of the window, click Box Sign.
- Scroll down to Legal Settings.
- Toggle Enable Disclosure to the desired value. To preview the Box ERSD, click Preview.
- Click Save.
Adding and modifying a custom Sign ERSD:
If you don't want to use the Box default ERSD, Box enables you to add and modify an ERSD customized for your enterprise.
To create a customized ERSD, simply type plain text and format with HTML tags. Box supports the following HTML tags:
- links <a href> and <a>
- bold <b>
- line breaks <br>
- italic <em>
- italic <i>
- strong <strong>
- span <span> and
- underline <u>.
To add or modify a custom ERSD:
- In the Admin Console, in the left sidebar click Enterprise Settings.
- In the top of the window, click Box Sign.
- Scroll down to Legal Settings.
- Toggle Enable Disclosure.
- In the Customization section, click Enterprise-Specific Disclosure.
- In the text box, type your custom ERSD and use HTML tags to format. To review your custom ERSD before saving it, click Preview.
- Click Save.
Box applies changes to the ERSD after you save it. Changes made to the ERSD apply only to signature requests sent after the ERSD is saved.
Signature requests that are "In-Progress" display the ERSD that was in use when you sent the signature request.
You're responsible for updating or canceling any pending signature requests.
Signature Log
After you add a custom ERSD, Box appends it to the end of every signature log.
Signer Experience
For each document sent for signature, Box displays the legal disclosure consent banner once for every signer and for each appearance in the signing order. Signers can click on the ERSD hyperlink in the consent banner to view the ERSD statement associated with the signature request.
