Note: Reports are available to Business plans and above.
Admins can run any report while co-admins require specific permissions to run reports. Group Admins can run only a subset of available reports, dependent on group admin permissions.
Reports will be saved in your Box Reports folder. You can schedule a report, save a report configuration, and subscribe managed users. More information is available in Report Configuration Capabilities.

IMPORTANT:
To prevent intentional or unintentional abuse of Box systems, you are limited to running no more than 300 reports per hour. if you exceed this limit, you may be blocked from running new reports temporarily.

From the Create Report tab, you can run the following reports as long as you have the relevant plan:

- Outbound Collaboration

To run any report in this section except Legal Holds or Retention:
- Go to Admin Console > Reports.
- Click Create Report.
- Select any report type except Legal Holds or Retention.
- Click Next.
- In the Run [Report Name] dialog box or the report Step 2 page, configure the report and set a start and end date for the report data, if available. See the page for each report type (links above) for details about what you can configure for each report.
- Where available, optionally save the report setting configuration or schedule the report.
- In the Invite as viewer field, optionally enter one or more user names (or managed users) or user groups. See Subscribing Users to Reports for details.
- Click Run.
To run a Legal Holds or Retention report:
- Go to Admin Console > Reports.
- Click Create Report.
- Select a Legal Holds or Retention report type.
- Click Next. You will be taken to the page where your existing Legal Hold or Retention policies are listed.
- Hover your mouse cursor over the policy you want a report for and click Report.
- Click Generate.
Location-dependent reports
Some reports are run from a designated area rather than from the Reports tab. These include:
- Access Stats Report
- Admin Insights Data Tiles
- App Diagnostics Report
- Box Shuttle Reports
- Folder Activity Report
- Folder Shared Links Report
- Geographic Activity Report
- Platform Insights Data Tiles
- Reporting on Custom URLs
- Storage Report
Run saved reports
- Go to Admin Console > Reports.
- Click the Saved Reports tab.
If you are the organization Admin, you will see a list of all saved report configurations. If you are a Co-Admin or a Group Admin, you will see only the report configurations you have saved. - Hover the cursor over the saved report configuration, click the 3-dot button (
), and then click Run.
Running reports information
- Reports can take from several minutes to up to 12 hours to generate, depending on the size of the data set. However, for particularly large data sets, it can take longer. If the status of your report does not update in 24 hours, or has been in a Pending status for 24 hours, please contact Product Support.
- For all content reports, data is available for up to 24 hours before the time that the report is run. For all event reports, data is available for up to 12 hours before the time that the report is run. For the User Details report, data is available for up to 1 hour before the time that the report is run.
- A single report file can contain up to 1 million rows of data. If a report generates more than a million rows of data, the report will be broken up into multiple files with the same name except for the
_Page_#at the end of the filename. If a report is broken up into multiple files, the pagination in the filename determines the order of the data, not the order in which the files were completed and uploaded to the Reports folder. - Some reports include date and time data.
